Paralegals and Staff

Trusts & Estates Paralegal

We have an immediate opening in our Trusts & Estates practice group located in our Milwaukee office.  We seek an experienced professional with a minimum of 5 + years of experience.

The position requires excellent academic credentials - at a minimum, a Bachelor's degree and a Paralegal Certificate (or equivalent).  As part of our Trusts & Estates team, the individual filling this position must be proficient in:

  • Trust and probate accounting
  • Interacting directly with firm clients and others via mail, e-mail and telephone
  • Fiduciary Income and Gift and Estate tax returns
  • Probate Filings
  • Managing multiple tasks and projects on an ongoing basis
  • Assisting with the overall management of department workflow
  • Performing such duties as may be assigned by the attorney

In addition, demonstrated familiarity and experience working with Microsoft Word/Excel/Outlook as well as general computer and internet skills are required.

You must possess exceptional organizational skills, strong attention to detail with a commitment to accuracy and the ability to multitask, prioritize and meet deadlines.  In addition, you must be comfortable working independently and in a team atmosphere, and possess effective oral and written communication skills.

Legal Secretary – Litigation Department

We are currently looking for a professional legal secretary to work in our Litigation department in our Waukesha office location. This is a great opportunity for the well-qualified candidate. This position requires superior secretarial skills with a focus on exceptional litigation skills. Legal secretarial experience in large, complex litigation with a minimum of 3-5 years is ideal.  

You should have a minimum typing speed of 65 wpm, be proficient in Microsoft Office, Outlook and its applications, and have superior communication, proofreading and organizational skills. You should be familiar with the rules of Wisconsin and/or other State and Federal Court systems. Proficiency in electronic filing is necessary. In addition, you must be detail-oriented, able to prioritize and multi-task. You must also be a team player, have the initiative to take charge and work independently and enjoy a fast-paced environment.

Responsibilities vary but include: transcription, answering the phones, scheduling meetings and appointments, calendaring, keeping contacts current, filing, setting up and preparing files, filing court documents, client contact, etc.

Intake/Records Assistant Manager

We have an immediate opening for an Assistant Manager in our Intake and Records department in our Milwaukee office.  We seek an experienced professional to work with the Department Manager to help administer and process all matters related to these areas.

The ideal candidate must have a minimum of a Bachelor's degree and managerial or supervisory experience.  One to three years prior law firm experience and conflicts checking experience is desired.

Responsibilities include but not limited to:

  • All aspects of the New Business Intake and Matter Opening process
  • Performance of conflicts checks and analysis of results
  • Assess financial viability of potential new matters through external corporate research and analysis
  • Running special searches as needed (i.e. prior relations of new attorneys, potential merger, etc.) to identify potential conflict or business issues
  • Conducting independent research on various publicly available databases and internal databases for pertinent information on prospective clients and related parties
  • Providing partners with meaningful and concise conflicts reports with some level of analytical review, identifying potential conflicts issues and assist in conflicts resolution 
  • Providing partners with enhanced client due diligence to ensure compliance with anti-money laundering and terrorist watch list rules and to make a business determination as to whether to take on a new client
  • Assist in maintaining integrity of the new matter intake workflow and the conflicts database by verifying information on the new client/matter forms
  • Contacting partners and/or secretaries for required documentation (engagement letters and other documentation) and required approvals
  • Understanding and assisting in maintaining client records in paper and digital formats
  • Coordinate management and supervision of staff

You must be proficient in Microsoft Office, including Word, Outlook and Excel and possess excellent communication and interpersonal skills. You must also be detail-oriented and have the ability to work well under pressure, be responsive and follow through.  It is essential to be detail-oriented, have the ability to multi-task and work both as a team member and independently.  In addition, superior database searching skills and analytical skills are required.
